The following instructions show you how to use the software in one hour, while you also calculate the Fair Market Value (FMV) of your practice.
 
Preparing the Data Files:
Here are a few steps to get you started. As discussed above, this e-mail contains a downloadable file containing the Dental Practice Financial Calculator.
  1. First, create a file folder named dentalassociates.
  2. Save the attached downloadable file into this file folder. This helps us provide you with free lifetime upgrades. The name we have given this file is your personal name you have given us. This name will also appear on the first page of all Fair Market Value reports generated by this copy of the software.
  3. In another e-mail, you will also receive a second file named demo. The demo file is identical to the “sample data” found on our Web site. This is read-only file, and is intended to allow you to have a copy of the file that includes the sample data. The following information explains how to use this file as a reference aid.
Most e-mail service providers cannot accept e-mails with attached files larger then 10MB. Both files we e-mail you combined exceed 11MB. This is the reason the demo file is provided in a second e-mail.
 
The file attached to this e-mail does not contain any data. This is your custom copy for entering your actual business data. Once you have both files copied into your dentalassociates file folder, take the file with your personal name and make copies using whatever naming scheme you plan to use for your actual data files. This software is compatible with all Microsoft Excel functions (save file, file backups, print, etc.) that are already familiar to you.
 
Using the Dental Practice Financial Calculator:
The following instructions teach you how to use the software in one hour, while you also calculate the Fair Market Value (FMV) of your practice. It is important to do this during a planned time when you can devote an hour of undivided attention.
 
Start by entering one month of data. The first month of data should be taken from your latest set of financial statements from your practice accountant or practice-management software. For optimal software projections, 24 months of prior historical data should be entered. The software tracks up to 120 periods (10 years) of monthly data – but only one period is required to fully run the model. All periods not used for prior historical periods are available for future monthly data.
 
There are only 28 financial data fields and three productivity data fields for each dentist and hygienist that must be recorded each month. That's easily obtainable from the monthly trial balance reports prepared by most practice accountants or practice software. It only takes a few minutes each month to enter required data. The software also enables your accountant to enter the data over a secure Internet connection to the practice computer.
 
A secondary purpose of the software is to calculate the FMV (for dentists not interested in using the software as a practice financial management tool). This is achieved by entering your best estimate for only one period of the above-discussed data. This estimate should be based upon the practice's current or anticipated level of business and expenses. For optimal software projections, enter 24 months of prior historical data.
 
Get Started:
  1. In your folder, double-click the file you plan to use for your actual business data. This will open in Microsoft Excel.
  2. Go back to your folder and double-click the demo file. This file will also open in Excel. By keeping the demo file open at the same time, you can switch back and forth to see the data from the example. This is the same “sample data” from our Web site demonstration and can also be used as a reference when working with your actual business data file. (Hint: You can go to the Excel Windows function on the top of the screen to easily switch between files.)
  3. Click on the Accounting Input" tab. Enter your financial data in the 28 fields.
  4. Click on the Productivity Input tab to record practice productivity. There are only three fields for each dentist or hygienist and you, your bookkeeper, or office accountant can easily enter this data each month.
  5. Click on the Control Panel tab and enter the information for the nine data categories. This will build your Future Business Model, give valuable practice statistics, and calculate a current practice FMV. The control panel enables the user to compare historical financial data against a projected financial model, which helps with practice planning. This detailed data provides the statistics that help users make crucial practice decisions and get a clearer view of the future. The Control Panel also lets users generate “What-If” probability analyses that project the effects of various planning strategies by simply changing any variable (e.g. patients per day, billing rates, days worked, open hours, number of employees, etc.).
With just those simple steps, you have created a practice management tool that you will use as long you own your practice and calculated the FMV.

Additional useful software information:
  • The tabs in the software are the same as seen on the Web site. The Fair Market Value appraisal is presented in the last three tabs.
  • You cannot make a mistake that will affect or damage the software.
  • Every tab can be printed by using the Excel print icon (print parameters cannot be changed). Each tab must be printed individually.
  • Use the "Print Preview" icon to see a screen image of how the printed tabs will appear on paper.
  • Only the yellow cells can be used to enter data or clicked on using your mouse.
  • Every tab is password-protected, which limits the number of Microsoft Excel functions that can be used.
  • The "Print," "Print Preview," and "Save" icons are the only icons or functions you use.
  • Everything in the software is completely set. There are no adjustments required or allowed.
  • The Excel scroll bars are the only way to navigate or change the view of the screen.
  • To enter data in the yellow cells, use the mouse to point to the desired cell and click.
  • Save files using the "Save" Excel icon like any other Excel file.
  • The optimal monitor screen resolution is 1024 by 768 pixels.
  • The financial rates used to calculate the Fair Market Value appraisal are updated on the first day of every month and posted on our Web site. Both the financial rate and financial criteria that we use for the FMV calculation can be updated or replaced with different rates or criteria that you or your financial advisor feel are more appropriate for your practice. Try changing some of the financial rates; you will be amazed how it changes the appraisals.
  • The simple English terminology used in the FMV tabs is intended to be a teaching tool and reference guide to define commonly used financial formulas used in most FMV calculations.
