Once you’re familiar with this practice tool, it will only take a few minutes each month to review and understand your practice financials and make those crucial practice decisions. Using the Dental Practice Financial Calculator:
The following instructions are intended to teach you how to use the software in one hour, while you also calculate the Fair Market Value (FMV) of your practice. It is important to do this during a planned time when you can devote an hour of undivided attention.
The best way to begin is enter one month of data. The first month of data should be taken from the latest set of financial statements from the practice accountant or software. For optimal software projections, 24 months of prior historical data should be entered. The software allows 120 periods (10 years) of monthly data. Only one period is required to fully run the model. All periods not used for prior historical periods are available for future monthly data.
There are only 28 financial data fields and three productivity data fields for each dentist and hygienist that must be recorded each month. That's easily obtainable from the monthly trial balance reports prepared by most practice accountants or practice software. It only takes a few minutes each month to enter required data. The software is also setup to allow data to be easily entered by the accountant over a secure Internet connection to the practice computer.
A secondary purpose of the software is that it could be used only to calculate the FMV, for dentists not interested in using the software as a practice management tool. This is achieved by entering your best “estimate” for only one period of the above-discussed data requirements. This estimate should be based upon the practice's current or anticipated level of business and expenses.
Get Started:
1 - Click on the " Manpower Input" tab. Enter the salary information for all employees. You can add new employees or add “what-if” employees for practice planning. The “what-if” employees do not change the current run-rate projection or historical data -only the projected future forecast. This helps you understand the potential financial impact of new production or administrative employees -before they are hired.
2. Click on the " Financial Input" tab. Enter your financial data in the 28 fields.
3. Click on the " Productivity Input" tab to record practice productivity. There are only three fields for each dentist or hygienist.
4. Click on the " Forecasting" tab. To start, enter the same numbers in all of the "What if" scenario YELLOW CELLS that are in the adjacent BLUE CELLS. The information in the blue cells contain the actual average results. This will set your Current Monthly Run-Rate model to the actual average in three of the four Activity Based income statement categories. Once the Current Monthly Run-Rate model is completed, you can go back to any yellow cell to generate “what-if” analyses that simulate various planning strategies by simply changing any variable (e.g. patients per day, billing rates, practice expenses, etc.). The Forecasting software segment displays income statement results for seven practice scenarios. Each scenario is presented in an activity-based format for easy identification of major trends. The Forecasting software segment also provides valuable statistics that help users make crucial practice decisions and get a clearer view of the future. This segment enables you to compare historical financial data against your current monthly run-rate model and a projected financial forecast.
With just those simple steps, you have created a practice management tool that you will use as long you own your practice.

Additional "Insider" Tips and Techniques:
- The tabs in the software are the same as those in our Web site demo. The Fair Market Value appraisal is presented in the last three tabs.
- You cannot make a mistake that will affect or damage the software.
- Every tab can be printed using the Excel print icon (print parameters cannot be changed). Each tab must be printed individually.
- Use the “Print Preview” icon to see a screen image of how the printed tabs will appear on paper.
- Only yellow cells can be used to enter data or clicked on with your mouse.
- Every tab is password-protected, which limits the number of Excel functions that can be used.
- The “Print," "Print Preview,” and "Save" icons are the only icons or functions you need.
- Everything in the software is completely set. There are no adjustments required or allowed.
- The Excel scroll bars are the only way to navigate or change the view of the screen.
- To enter data in the yellow cells, use the mouse to point to the desired cell and click.
- Save files using the "Save" Excel icon - like you would with any other Excel file.
- The optimal monitor screen resolution is 1024 by 768.
- Update Your Financial Rates. We post new financial rates (used to calculate the Fair Market Value appraisal) on our Web site on the first day of every month. Both the financial rate and financial criteria that we elect to use for the FMV calculation can be used or replaced with different rates or criteria that you or your financial advisor feel are more appropriate for your practice. Try changing some of the financial rates; you will be amazed at how it can change the appraisal. In simple terms, the software explains financial formulas and terminology that a dentist will need to understand when buying, selling, or bringing a partner into a dental practice.
